Automating Controlled Substance Reporting

If you are in the business of Pharmacy you know that Controlled Substance reporting can be a hassle, especially if you have multiple state entities to deal with. Having to manage frequency of reporting can be a nightmare along with zero reporting and those pesky state by state exceptions!

Too often dispensing systems can fall flat in reporting to the states to handle all the intricacies of this setup. They may be able to do the straightforward Schedule II drugs but what about Schedule III and IV. Many systems don't even attempt the zero reports which requires a Pharmacy Owner to delegate someone to manually go in and the zero submission.

At MedEdge we have had tremendous success with helping smaller locations as well as national pharmacies make sense of their Controlled Substance reporting to eliminate the need for physical intervention.

Here are some practical ways to ease the burden:

  • Use a system to manage controlled drugs and which states require reporting on them

    • Monitoring 53 or more PDF's with different guidelines is unmanageable

  • Set up reporting for each state to accommodate the specific state requirements and to include the required drugs

    • Never guess which requirements apply to each state

  • Set up reporting for each state that do not have dispenses and requires zero reporting

  • Set up automation to send daily dispense and zero reports to each state

    • Eliminate the need to manually log in to each portal to submit daily zero reports

The bottom line is, even though managing effective Controlled Substance process can be tricky, the implementation of a consistent process, allows automation of the process and makes for minimal human touch.
